Church Group Leader Steps

Important Information About Church IDs

Church ID request for Summer Camps 2024 begins January 1!

Summer Camp Registration Opens February 1!

As you are preparing to reserve your spots for summer camp 2024, here are a few important notes and reminders:

  • NEW IN 2024: We are switching our camp registration platform to UltraCamp. This will allow churches to complete their group reservation and  Church ID requests directly in the registration platform.

  • Church IDs are now called “Group Reservations”

  • As the leader of your church group, you will create an account in UltraCamp and request a new group reservation and Church ID for each camp your group will be attending.

  • The Church ID is MANDATORY for group registrations and is important for every student and parent to have when registering.

  • The Church ID determines housing, applies church-sponsored discounts, and will allow you to keep track of your campers and their registration balances.

  • A Church ID does not hold your spots indefinitely. Spots are secured once a student registers and pays the $50 deposit.

  • Churches will only be allowed two more spots than the actual number they filled the previous year. If churches reserve more spots than this when completing the group reservation, the number will be reduced as needed.

  • Once the spots you have requested are full and you have names of campers who would like to fill more, they will be opened to your church by our camp registration team. You will email your name, group reservation name and names of those campers.

  • NEW IN 2024: We are switching our camp registration platform to UltraCamp. This will allow churches to complete their own “Church ID” request. In UltraCamp, this reservation is referred to as a “Group Pre-Order.”

As the main leader of your church group, you will need to create an account in UltraCamp and request a new reservation for each camp your group will be attending.

The Church Group Registration is MANDATORY for group registrations and is important for every student and parent to have when registering. You will have the option to create a code to distribute or add your group name to a dropdown list for campers to choose from. UltraCamp will also provide a URL that you can send to your campers that will take them directly to your group reservation.

The Church Group Registration determines housing, applies church-sponsored discounts (referred to as church sponsorships in UltraCamp), and will allow you to keep track of everyone who is attending camp and their balance by logging into UltraCamp.

A Church ID does not hold your spots. SPOTS ARE SECURED ONCE YOU PAY THE $50 DEPOSIT FOR EACH STUDENT.

Churches will only be allowed 2 more spots than the actual number of spots they filled the previous year. If churches reserve more spots than this when completing their Church Group Registration, the number will be reduced upon completion.

  • Send the following to parents so they can register their children (students) online:

Group Reservation code that corresponds with the correct camp that the student is attending.

If your students have never attended camp you can also send the parents our step-by-step registration guide to help them with the registration process.

As the leader, you can log in anytime to UltraCamp and review student information.

If you have any questions, please reach out to us at camp@ohioministry.net.

  • Due to the large number of campers that attend OKM Summer Camps, all churches that bring groups of more than 5 are expected to provide Room Leaders for their campers.

The preferred ratio is 1 adult Room Leader for every 8 students of the same gender.

Example: 3 male campers and 9 female campers in the group will mean the church must bring 1 male Room Leader and 2 female Room Leaders.

All leaders that apply by May 1 can make plans to attend assuming that their references and background check do not create a cause for concern.

  • It is highly recommended that church groups SECURE TRANSPORTATION for their campers to and from camp that will NOT include camp staff as drivers.

All camp staff/leaders must report to camp for setup and training on the SUNDAY NIGHT BEFORE CAMP and therefore cannot be available to drive campers to Camp on Monday.

    • A camp bank exists so campers can avoid accidental loss of their money. It also allows parents to provide money for their child to spend on incidental items such as snacks, merch, etc.

    • Campers MUST deposit their money either upon online registration or during registration on Monday. The option to add money online in advance will close 5 days prior to the opening of camp.

    • The Camp Bank will be open at different times during the week for kids to access their store credit.

    • Any remaining balance can be picked up from the bank on Friday morning before leaving camp.

    • Money not picked up from the Camp Bank on Friday will be donated to BGMC.

  • More information coming soon!

  • Each year at camp, kids are given the opportunity to learn questions from the JBQ fact-pak to earn beads and have their names added to the “JBQ Wall of Merit.”
